View / edit customer

Use this area to view change (if applicable) a customer details.

To View / edit customer you must be in Customers list page. Click Customers option from left side menu. Choose from Customers list the customer you want to see or edit, then click the edit icon left side. Additionally you can click on customer first, last name or company or email.
The View / edit customer window will open for you to see or change its details if applicable.

There are limited changes you can make to an customer (user):

  • Enable / disable an user
  • Set user as reseller account (if applicable)
  • Set user as military account (if applicable)
  • Set user access level (if applicable)
  • Set user price level (if applicable)
  • Set a price level deviation in percentage (if applicable)
  • Allow user to use Charge account payment method (if applicable)
  • Reset user password in case he / she ask you to do that

All details user details are populated from the details input by user through his / her interface (FRONTEND - user login).
Additional information regarding with user activity throughout the website are provided by the system (statistics).
Informational sections which cannot be changed by you are:

  • Other details (company, phones, emails used by current user)
  • User activity on website (statistics regarding user activity into website)
  • User addresses: Shipping and billing addresses - all addresses inputted by user
  • Military details
  • Reseller details (company, registration number, user position & name, industry and website)
  • Reseller page details (user details which will be display in reseller page - if applicable)

Page areas/sections

At the top left side of the Edit customer window is the title to identify where you are: View / edit customer followed by customer ID. On same row in right side is the customer name and the email address he / she uses to login into your website.

All areas are collapsible and you can expand them as you need. Click the blue title of the area to expand it if it is closed or to close it if it is expanded.

  • Left side top contains details that can be changed by the shop administrator. These details are specific to each customer and called Basic details.
  • Left side bottom contains Other details and User activity on website. None of them can be change by shop administrator. All data is displayed here as per user input or changes under his / her account.
  • Right side top contains the Reset user password. Shop administrator can change the password in here at user requests. Then the shop admin should pass the new password to user.

    Note:
    Once you change the password for current user, he / she will not be able to use the old password (his / her password before reset) anymore.
    Do not change the user password if he / she did not asked you to do that.

  • Right side bottom contains all User addresses, Military details, Reseller details and Reseller page details.

    Note:
    All details in: Other details, User addresses, Military details, Reseller details and Reseller page details can be input and altered only by user in his / her My account area.
    Military details, Reseller details and Reseller page details are shown in his area only if these sections are enabled by shop admin (globally settings) and if user has corresponding rights. For example a user can see and change / update his Military details only if you assigned to him Military access level.

Editable user details

All details under Basic Details area are editable by you as shop administrator.

Enabled

Possible values:
Yes - User can login
No - User cannot login

Disable a user which creates problems and you do not want him / her as customer.

Notes:
If a user is disabled he / she will not be able to login and he / she will not be able to create a new account using the same email address.
By default when an user register on your website this switch is enabled automatically.

Notes:
If a user apply for a special account (military or reseller) by default his / her account is disabled but you can change this behavior from:
- Shop configuration -> Settings -> Signup military application -> Enable user after submit application (prior approval user has consumer access).
- Shop configuration -> Settings-> Signup resellers application -> Enable user after submit application (prior approval he has consumer access level)


Customer code

You can input here the code you assigned to current customer if applicable.
You will see Customer code here only if you set Shop configuration -> Settings-> Global (system wide) -> Use customer code to Yes.


Reseller account

Possible values:
Yes - This is a reseller account
No - This is NOT a reseller account

Usually this user applied for becoming reseller.
Alternatively, you can make any ordinary user as being reseller if applicable. Just turn the Reseller account switch on Yes.
And vice-versa, any Reseller can be turn off and became an ordinary consumer.

The meaning of being reseller have impact on being display on reseller page and also being displayed on resellers map if applicable.

If a user has reseller account, he / she can update his reseller details and reseller map details (if enabled) from My account area (front end).

Notes:
Reseller account is a special type of account. If user is set as reseller it means:
- he has filled in reseller details, see right side, Reseller details. For example: Company, Sales person, etc.
- in most cases he will have assigned a special level of price because he will buy on regular basis
- his details may be shown on front end resellers page

Notes:
You will see reseller data here only if you set Shop configuration -> Settings-> Global (system wide) -> Use reseller to Yes


Military account

Possible values:
Yes - This is a military account
No - This is NOT a military account

Usually this user applied for military account.
Alternatively, you can make any ordinary user can be assigned as being military account if applicable. Just turn the Military account switch on Yes.
And vice-versa, any Military account can be turn off and became an ordinary consumer.

If a user has military account he / she can update his Military details from My account area (front end).

Notes:
Military account is a special type of account. If user is set as military it means:
- he has filled in military details, see right side, Military details. For example: Organization and Rank
- in most cases he will have assigned a special level of access because he will see details usually not available to other users and he may have assigned special level of prices
- military accounts may receive by email/newsletter confidential details

You will see military data here only if you set Shop configuration -> Settings-> Global (system wide) -> Use military to Yes


Access level

Possible values: one of the access levels

The access levels can be set at products level and files attached level.

Access level refers to the parts of frontend website visible for a certain category of users based on their login details. For example a category of users have access to pdf that are not visible for ordinary users.
Based on the level of access is set for current user, upon login he / she will be able to access only products or files attached to products which match his / hers access level.

If you do not use access level, then you will not see this row. For access level details click here.


Price level

Possible values: one of the price levels

You can set up to five levels of prices for each item (each variant of each product), different set of prices for different users category.
Each users category will see their prices based on their login.
Set here the price level which will be displayed when the current user will login.

If you do not use price level, then you will not see this row. For price level details click here.


Price level deviation

To allow a more detailed negotiation between you and your customers, you can assign to current customer a price level to which apply a deviation to obtain that set of customer prices available to one customer.
The deviation is always a percent from the price level assigned. Input the percentage number (or number with 2 decimals) only (no percentage symbol).
If the percentage number is negative, means that the price level assigned minus the percentage will be applied. The price deviation is smaller than the price level.
If the percentage number is positive, means that to the price level assigned add the percentage deviation. The price deviation is bigger than the price level.
Example: the current customer has the Whole Sale price level assigned and a 10% price deviation. For an item with Whole price $10, current customer will have a negotiated price of $10 + ($10*10/100) = $11
If the Price level deviation will be -10%, then his negotiated price will be $10 - ($10*10/100) = $9.


Allow payment - charge account

For reseller is very common to allow them to order without paying right in the moment they order.
If you have an agreement with your reseller to pay after a number of days, the reseller will use the Charge account payment method.
Only the customers (user) you set explicit that allow them to use the Charge account payment will be able to use it.

Possible values:
Yes - Allow charge account payment method
No - Do NOT allow charge account payment method.

Other details

This area cannot be edited only view details. The details here are coming from the information the current user had input in My account area (FRONTEND - user login).

Following details are found here:

  • Company if user had provide it
  • Mobile if user had provide it
  • Phone if user had provide it
  • Email It is the email used to login. It is a mandatory field for user to create his / her account.
  • Alternate email All users can add an alternative email address.
    If needed, the alternative email can be made primary email (the email used on login). This solve the problems when user cannot use anymore the email used to register into your website.

User activity on website

In this area you have at the glance some statistics regarding current customer.

Following details are found here:

  • Last order It will be displayed the order no and date, its status and value. Also, you have a direct link to the order pdf.
  • Total orders It will show the number of orders and their status, the total value of all orders. Also you have a direct link to the order listing filtered by current customer.
  • Register on This field stands for the date when the current user registered to your website.
  • Number of logins This field measure the user activity. It is useful to see user behavior within your website.
  • Last login This field allows you to know from where the user have login last time. Important information in case of fraud.

Reset user password

In case a customer contact you by phone because he / she cannot receive the reset password email, you can reset the password for him / her.

To reset a customer password you need to:

  • In Customers list you look for that particular customer (BE SURE YOU ARE CHANGING THE RIGHT ONE) and edit the customer
  • Click the red Reset password button
  • A warning massage will pop-up on your screen asking you to confirm the change or to aboard it
    • Click green Yes button to continue with changing the password
    • Click red No button to aboard the password changing
  • If you have clicked the Yes button on the warning pop-up, a new password will be displayed for you
  • Pass the new password to your customer

Note:
If you changed the user pass yourself, he will not be able to use the old password.
When you change the customer password, the password will be generated by system, you cannot change it manually.
Next step the customer himself have to change the password you give him / her with one convenient for him / her.

User addresses

Here you can find all the addresses inputted by current customer (user) via My account -> Addresses (FRONTEND - user login).
This area has informative value, you cannot change anything.
To alter the data in user addresses, the user have to login into his /hers account and change any of the Addresses he / she entered before. All changes will be propagated into admin (BACKEND).

Military details

Here are displayed the military details inputted by current user under his account (FRONTEND - user login).
This area has informative value, you cannot change anything.
To alter the data in military details, the user have to login into his /hers account and change them. All changes will be propagated into admin (BACKEND).

Reseller details

What is shown in this area is entered by current user when he placed an application to be your reseller.

Here are shown only those details relevant for reseller (application) and initially will help you decide if you approve or not his application:
- Company name
- Company registration no.
- Position of applicant inside the company
- Sales person of that company (name)
- Industry of main company activity
- Company website

Note:
Reseller is a generic name for those website users who can buy from you products at smaller prices than Retail price.
Common names used: Trade, Distributors, Dealers. You can setup name that will be shown into front end website in Shop configuration -> Settings ->Signup reseller application
- In most cases they re-sell products bought from you using RRP (Recommended Retail Price) but it is not mandatory.
- The main reason you give them better buying prices should be because they commit to buy from relevant quantities in specific timeframe or always buy relevant quantities

Resellers page details

Main reasons of this district area:
- Some businesses does not want to show on map details their details registered on this website (shipping, billing etc.)
- To make sure the map will point to desired location, they can input here latitude and longitude of this pointer.

What is shown in this area is entered by current user after his reseller application is approved and if he is enabled to be shown on reseller page.

Details that can be shown in the resellers page:

  • Company
  • Contact Person
  • Street address
  • City / Suburb
  • State / District
  • Zip code / Postcode
  • Phone(s)
  • Company
  • Mobile(s)
  • Email(s)
  • Fax
  • Website

Note:
Will be shown on reseller page only those details are not empty, for example if the user does not write anything in Phone(s) filed then the phones area will not be shown at all.
Your reseller will be show on the reseller page with the details he wants to be seen by internet users.

Click the red Reset password button to change the current customer password if he / she ask you to.

When you click the Reset password button, a warning massage will pop-up on your screen asking you to confirm the change or to aboard it:
Click green Yes button to continue with changing the password.
Click red No button to aboard the password changing.

New password

If you confirm changing the password, on your screen will be displayed the new password with instruction to pass it to your customer.
Light green background and green text means successfully changed the password.
Light red background and red text will highlight an error. Follow the instruction.
